Live in two weeks

How your event moves from the spreadsheet into EVENTRA, in time for the crew call. Not a 40-line project plan, but six steps we walk with you.

The two weeks

  1. Day 1: kickoff, 60 minutes

    Create the tenant, areas and tasks of your event, employment types, wage types agreed with your payroll office. You bring last year's crew spreadsheet.

  2. Days 2 to 3: import the crew

    We import name, e-mail and employment type from your spreadsheet. The crew receive an invitation and add tax, bank and ID details themselves.

  3. Day 3: application form online

    Form with your fields, conditions and uploads. The link goes into the crew call, AI checks every application for missing data, applications land in EVENTRA from then on.

  4. Week 1: shift plan

    Event with days, areas, tasks and shifts. Time rules for breaks and surcharges. Team leads created.

  5. Week 2: test run

    Check-in rehearsal with the team leads, app on their phones, live board reviewed. Trial monthly closure with an export to your payroll office.

  6. Afterwards

    Support chat in the app, one personal contact, callback on event day.

Common questions

What does onboarding cost?

Nothing. Kickoff, import and test run are part of the licence.

Can we switch mid-season?

Yes, but better in between. Switching before the crew call brings the applications straight into EVENTRA; switching before the event brings time tracking and payroll. Both work, both together is easier.

Does the crew have to install an app?

For QR check-in and push the app on the team lead's phone is enough. Crew can apply and maintain their data in the browser; the app adds push, wallet pass and offline check-in.

What happens to our old data?

It stays where it is. We import only what you need for the new season. Hours from earlier years stay in your archive.
