This glossary defines the key terms and concepts used throughout the EVENTRA platform.

General Platform Terms

Abonnement

Subscription. The subscription plan that determines which features and how many HR licenses are available to your organization. Tiers: Free, Professional, Enterprise.

Abrechnung

Payroll / Settlement. The accounting and payroll process for calculating employee wages, including surcharges, bonuses, and deductions.

Akkreditierung

Accreditation. The process of verifying and authorizing personnel to work at events. Includes credential assignment, ZVÜ security clearance, and on-site check-in/check-out.

Anzeigename

Display Name. The public-facing name of your organization, shown on the landing page, in emails, and throughout the platform.

Aufgaben

Tasks / Todos. System-generated HR action items highlighting data quality issues such as duplicate employees, placeholder data, or missing employment information.

Employment & Payroll Terms

ArbZG (Arbeitszeitgesetz)

Working Time Act. German federal law governing working hours, break times, and rest periods. EVENTRA calculates break times and flags potential violations according to ArbZG requirements.

Bewegungsdaten

Transaction Data / Variable Data. Time-dependent employee data such as worked hours, shift assignments, and check-in/check-out records, as opposed to static master data (Stammdaten).

Brutto

Groß (employment type). Short-term employees (Kurzfristig Beschäftigte) with standard groß wage payment. These employees are exempt from social insurance contributions under specific conditions. Internal code: 110.

Geringfügig Beschäftigte

Marginally employed. See: Minijob.

Kurzfristig Beschäftigte

Short-term employees. Workers employed for a limited time who are exempt from social insurance contributions when not employed on a regular basis and within certain time limits. Covers both Brutto and Netto employment types.

Lohnart

Wage Type. A code used in payroll systems to categorize different types of compensation (e.g., base pay, surcharges, bonuses). Used in payroll export for integration with external accounting systems.

Minijob

Mini-job (employment type). Marginally employed workers (Geringfügig Beschäftigte) with a maximum monthly earnings limit. Social insurance contributions are reduced, and the employer pays flat-rate charges. Internal code: 109.

Netto

Net (employment type). Short-term employees with net wage payment. The wage is already paid out as a net amount, simplifying the billing process. Internal code: 110-N.

Rechnung

Invoice (employment type). Non-reportable workers (Nicht meldepflichtig) who operate as freelancers/contractors and issue invoices for their services. They handle their own tax obligations. Internal code: 900.

Stammdaten

Master Data. Static employee information including name, address, tax ID, social security number, bank details, and employment type. Must be completed before an employee can be assigned to shifts.

Stotax

Stotax. An external payroll/tax processing system used for employee registration, tax calculations, and payroll data export. Integration allows automatic synchronization of employee data.

Zuschlag

Surcharge / Premium Pay. Additional compensation paid to employees for working under specific conditions, such as night shifts, weekends, or holidays. Configured through the time rules system.

Event & Workforce Terms

Gewerk

Trade / Craft. A category describing the type of work or skill set (e.g., production, security, catering). Companies and employees are organized by their assigned trade within events.

Schicht

Shift. A defined work period within an event, with a start time, end time, and assigned task. Employees are scheduled into shifts.

Tätigkeit

Task / Activity. A specific job role or task within an event structure. Tasks are organized under units and can have visibility and requirement tags assigned.

Tag System

Visibility Tags (Sichtbarkeits-Tags)

Tags that control which employees can see and apply for specific tasks. An employee must have at least one matching visibility tag to see a task in their application list.

Requirement Tags (Anforderungs-Tags)

Tags that define qualifications or requirements for a task. Used to check whether an employee is qualified to be assigned to a specific task.

Tags serve two distinct purposes: Visibility Tags control what employees can see, while Requirement Tags warn HR during assignment if qualifications are missing. Both types are created in the same settings page.

User Roles

Junior

Standard employee role. Can view available events, apply for shifts, view their schedule, enter time records, and manage their personal data.

Supervisor

Team lead role. Has all Junior capabilities plus the ability to confirm employee time entries and manage team members on-site.

HR

Human Resources administrator role. Has access to the full HR dashboard including event planning, employee management, payroll, settings, and all administrative features. Specific capabilities depend on assigned permissions (Planung & Buchhaltung, Systemeinstellungen, Zahlungsberechtigung).

accJunior

Standard accreditation employee role. Can submit ZVÜ data, view accreditation status, and present QR codes at events.

accSupervisor

Accreditation supervisor role for subcontractor companies. Can manage their company's employees within the accreditation system, view company-level statistics, and add new employees.

Authority (Behörde)

Accreditation authority role. Has full administrative access to the accreditation system, can review and approve ZVÜ applications, and manage all companies and employees.

Comprehensive management of external service providers and partner companies, including invitation workflows and trade-based organization.

Document Management (Dokumenten-Management)

Central document management with file organization, tagging, and access controls.

Payroll Integration (Lohnbuchhaltungs-Integration)

Integration with external payroll systems (e.g., Stotax) for automated payroll data export and employee registration.

Social Login (SSO)

Single Sign-On capabilities with Apple and Google accounts for simplified employee login.

Smart Wallets

Integration with Apple Wallet and Google Pay for digital employee credentials and event passes.

AI Matching (KI-Mitarbeiter-Zuordnung)

AI-powered automatic matching of employees to shifts and teams based on qualifications, availability, and historical performance.

Accreditation Terms

Credential

A specific type of access pass or authorization level assigned to employees for event access (e.g., "P - Produktion (Pass)", "B - Behörde (Pass)"). Credentials are configured in Settings and assigned during the accreditation process.

ZVÜ (Zuverlässigkeitsüberprüfung)

Reliability/Security Clearance Check. A police background check required for personnel working at high-security event venues in Germany. The 3-step process involves personal data entry, terms acceptance, and review/approval.

Check-in / Check-out

The process of registering an employee's arrival and departure at an event venue, typically done by scanning their QR code with the EVENTRA scanner.
