Team Lead Features (Supervisor)

Team lead features including QR scanner, team overview, and check-in management.

Supervisors have additional capabilities beyond those of regular employees. This guide covers the features available exclusively to users with the Supervisor role.

What Supervisors Can Do

In addition to all regular employee features (shifts, applications, time tracking, personal data), supervisors can:

  1. Check in and check out team members using a QR code scanner or name search.
  2. Self-check-in and self-check-out without needing another supervisor.
  3. View the team time tracking overview with all team members' time entries.
  4. Add comments and ratings to team members' time entries.
  5. End running time entries for team members.

The Supervisor Page

The supervisor page is divided into two main areas:

1. Check-In/Out Card

At the top of the page, you see a card titled "Mitarbeiter Check-In/Out" (Employee Check-In/Out). This card offers two ways to check employees in or out:

Option A: Search by Name

On the left side, there is a search field (user search combobox). Start typing a team member's name or email, select them from the results, and the system will automatically determine whether to check them in or out:

  • If the employee is not currently checked in, the check-in dialog opens.
  • If the employee is currently checked in, the check-out dialog opens.

Option B: QR Code Scanner

On the right side, separated by the word "oder" (or), there is a button labeled "QR-Code Scannen" with a camera icon.

  1. Tap "QR-Code Scannen".
  2. The QR scanner modal opens, activating your device's camera.
  3. Point the camera at the employee's QR code (available in their app profile).
  4. The system reads the QR code and automatically opens the check-in or check-out dialog.

If the user data cannot be loaded after scanning, you see: "Fehler beim Laden der Benutzerdaten" (Error loading user data).

2. Team Overview

Below the check-in/out card, you see a section titled "Dein Team" (Your Team) showing all team members' time entries.

Search and Filter

At the top of the team overview, there is a search field with the placeholder "Suchen..." (Search...). Type to filter team members by name, email, event, or task.

Team Member Cards

Each team member's time entry is displayed as a card showing:

  • Profile picture and name -- with avatar, name, and email address.
  • Status badge:
    • "Eingecheckt" (Checked in) -- green badge for employees currently working.
    • "Beendet" (Finished) -- grey badge for completed time entries.
  • Event name and task name.
  • Time details in a grey box:
    • Check-in time -- shown with a play icon (e.g., "09:00 Uhr").
    • Check-out time -- shown with a pause icon (e.g., "18:00 Uhr"), if completed.
    • Working duration -- labeled "Arbeitszeit:" with the total (e.g., "8 Std. 30 Min.").
    • Day offset -- if the check-out was on a different day, shown as "+1 Tag" or "+2 Tage".
  • Live timer -- for currently checked-in employees, a pulsing timer shows the running duration.

Work Time Limit Warning

If an employee's working time exceeds the configured limit, a warning icon and the text "Arbeitszeitlimit" appear in red.

Actions on Team Member Cards

For currently checked-in employees:

  • "Zeiterfassung beenden" (End time tracking) button -- opens the check-out dialog to end their shift.

For completed entries (checked out by you):

  • Rating slider -- a horizontal slider to rate the employee's performance (-2 to +2).
  • "Kommentar" button -- opens a dialog to add or edit a supervisor comment.
Adding a Comment
  1. Tap the "Kommentar" button on a completed time entry.
  2. A dialog opens with the title "Kommentar hinzufuegen" (Add Comment).
  3. Enter your comment in the text area (placeholder: "Kommentar eingeben...").
  4. Tap "Speichern" (Save) to save, or "Abbrechen" (Cancel) to discard.

On success: "Der Kommentar wurde erfolgreich gespeichert."

On error: "Der Kommentar konnte nicht gespeichert werden."

If a comment already exists on a card, the comment icon appears filled, indicating there is an existing note.

Pagination

If you have many team members, the list is paginated. Use the pagination controls at the bottom to navigate between pages or change the number of entries per page.

Self-Check-In/Check-Out

As a supervisor, you can also check yourself in and out from the Time Tracking page (not the supervisor page). At the top right of the "Deine Arbeitszeiten" page, you see:

  • "Selbst Einchecken" (Self Check-In) with a play icon -- if you are not currently checked in.
  • "Selbst Auschecken" (Self Check-Out) with a pause icon -- if you are currently checked in.

Tapping the button opens the standard check-in or check-out dialog for your own time entry.

Error Messages

Fehler beim Laden der Benutzerdaten -- Could not load the scanned user's data. Try again.

Der Kommentar konnte nicht gespeichert werden. -- The comment could not be saved. Try again.

Keine Zeiterfassungen gefunden. -- No time entries found for your team (shown when the team list is empty or search returns no results).

On this page
