The EVENTRA App

Alongside the employee portal in the browser, EVENTRA is available as an app for iOS and Android. It is built for use on site: fast access to your own QR code, checking in and out on the device, and -- for supervisors -- a scanner that keeps working without a network.

You sign in with the same credentials as in the browser: by password, by one-time code (OTP), or via Google or Apple.

The tabs

Startseite — home

The greeting follows the time of day ("Guten Morgen", "Guten Abend"). Below it:

• Erste Schritte -- a checklist with a progress counter: complete master data, upload a profile picture, create your first application.
• Neu für dich -- what is pending right now: incomplete master data, a security clearance application to submit, requested documents, or a new assignment ("Du wurdest für den 14.08. eingeplant.").
• A Live badge when your event is currently running.

Events

All events you can apply to, with a detail view and the application wizard.

Mein QR-Code — my QR code

Your personal QR code -- the credential supervisors scan when checking you in and out.

Aktivität — activity

Your own history in three areas -- Bewerbungen, Schichten and Zeiten -- each with a detail view.

For shifts you see the status (Offen, Eingeteilt, Bestätigt, Abgelehnt) and accept offers directly. Before accepting, the app shows your master data for review and asks for the usual confirmations -- accuracy of the data and minimum age, unemployment status, the 70-day limit for short-term employment, and the terms and conditions. Confirmed shifts can be added to the device calendar.

Supervisor

Only visible if you may check others in and out or are entered as Teamleitung on a unit. See below.

Profile

The profile gives you Stammdaten, Dokumente, Benachrichtigungen with notification settings, Support, E-Mail ändern, Passwort ändern and Konto löschen.

Support chat

Under Support you write directly with your HR team -- "Probleme mit Schichten oder Anmeldungen, Fragen zu Stammdaten oder Abrechnung, Fehler oder Verbesserungsvorschläge." Attachments come along via Foto aufnehmen, Aus Mediathek wählen or Datei wählen; up to 10 MB per file.

When HR replies you receive a push notification -- on Android as its own channel Support-Chat that appears as a banner. In the notification settings the category Support-Chat can be muted separately from Systemmeldungen and Optionale Mitteilungen.

Notifications and app icon

The Benachrichtigungen tab collects everything that concerns you: shift assignments, changes, document requests, support replies. The number on the app icon equals the unread entries -- Alle gelesen resets it. Inside the app the Aktivität tab additionally shows the number of shifts still waiting for your answer, and the Profil the requested documents.

Supervisor tools

As a supervisor you check your team in and out on the device:

• Scanner -- scan the employee's QR code; a torch toggle helps in the dark. The app needs camera permission for this.
• Personen suchen -- anyone without their code to hand is found by name search.
• Check in and out -- via a slider ("Zum Einchecken schieben"), with IBAN confirmation if your organisation has enabled it.
• Kommentar and Bewertung -- feedback on the shift, from "Sehr schlecht" to "Sehr gut".
• Meine Zeit starten / beenden -- supervisors record their own time too.
• A daily overview shows how many people are currently checked in and how many check-outs are overdue.

On iOS a Live Activity runs on the lock screen: your own running time, or -- once you have checked people in -- the list of checked-in employees with your own time underneath. Beenden works right from there.

Your Team (Live Board)

The Supervisor tab has a switcher at the top: Zeiterfassung (scanner, search, your check-ins) and Dein Team. You see the latter when HR has entered you as Teamleitung on a unit -- even without the check-in permission.

Dein Team shows the day's roster of your units and sub-units:

• Day picker with Vorheriger Tag / Nächster Tag and the number of shifts; Alle Tage for the whole event.
• Status as a ring -- Kommt noch, Vor Ort, Fertig, Fehlt, Überfällig, Ungeplant. Tapping filters the list.
• Erfassungsgrad -- share of due punches that are recorded (Check-ins · n/m, Check-outs · n/m).
• Pünktlichkeit -- deviation of the check-in from the planned start: early, on time, 5--15 min late, 15--30 min late, more than 30 min late, absent.
• Bereiche -- capture rate per area of your team, worst first.
• Below, the entries with person, unit, planned time and state; active filters appear as chips and can be removed one by one or with Alle Filter zurücksetzen.

If nobody is scheduled for the day: "Für den gewählten Tag ist in deinen Einheiten noch niemand eingeplant."

Offline operation

Festival sites rarely have stable connectivity. The app expects that:

• Bookings are stored locally when there is no connection ("Offline eingecheckt", "Wird synchronisiert, sobald wieder Internet verfügbar ist.").
• An offline list can be pre-loaded per event so people can be found without a network. Offline-Daten states when it was loaded and how many people are prepared ("n Personen für den Offline-Betrieb vorbereitet").
• Offline, a scan opens the Offline-Einsatz sheet: it shows the person, their planned shift ("Start: 09:00 Uhr") and -- if the person is not in the list -- lets you pick Event and Tätigkeit by hand before you slide to check in or out. When checking out you can also report a problem there.
• The Synchronisierung page shows how many bookings are held locally and offers Jetzt synchronisieren. Once everything is transmitted: "Alle Buchungen sind synchronisiert."
• If a transfer fails, Sync-Probleme appear with Erneut versuchen and Verwerfen.

Language

The app follows your system language or the language stored in your EVENTRA profile. Your organisation can additionally have content such as event names and task descriptions translated -- see Languages & Translations.
