Files
Templates, contracts and documents of the organisation in one place: folders, list and tile view, stars, bin and contract templates.
Files in the main navigation is your organisation's file store -- "Templates, contracts and documents of your organisation in one place." Personal documents of individual employees (IDs, certificates) do not live here but in the respective profile.
Permission
The page requires the permission Organisation files.
The page
On the left is the folder tree with All files as the root and Suggested folders for quick access; at the top right are New folder and Upload. A Storage card shows how much is used ("n files in m folders").
The toolbar:
- Search files… -- full-text search over names; "No files found" when the result is empty.
- View -- List view (default) or Grid view; in the list additionally Compact rows and the choice of Columns.
- Sort by -- Name, Owner, Type, Size, Modified; ascending or descending.
- Type -- Folders, PDFs, Word documents, Spreadsheets, Presentations, Images, Videos, Audio files, Code files, Archives, Other.
- Scope -- All files, Recent, Starred, Bin.
| Column | Content |
|---|---|
| Name | File or folder with a type icon; badge Contract template if tagged. |
| Owner | Who uploaded the file. |
| Type / Size | File type and size. |
| Modified | Last change. |
Uploading
Drag files into the list ("Drop files here to upload them") or click Upload. Maximum 10 MB per file; unsupported formats are rejected ("“…” has an unsupported format.").
Actions
In the row menu or for a multiple selection (checkboxes, then the bar "n selected"):
- Open, Preview, Download
- Rename, Move to folder (dialog with the folder tree and Root folder), New subfolder
- Flag / Remove star -- the star applies to the whole organisation: whatever one person flags, everyone sees under Starred.
- Tag › Contract template -- marks a file as a template for employment contracts; Create contract preview generates a sample contract with test data ("This may take a few seconds"). See Contracts.
- Delete -- moves to the bin without a confirmation dialog. The message "n item(s) moved to the bin." briefly offers Undo.
Bin
Deleted files and folders land in the Bin and can be restored there (Restore). Folders move with their entire content. Only Delete permanently or Empty bin removes them irrevocably: "“…” will be deleted permanently and cannot be restored."
Chat attachments
Files that employees send in the support chat -- screenshots, photos, documents -- are attached to the respective message and opened or downloaded there. They do not appear in the file store.
