EVENTRA Docs

The Employee Portal

Navigation, home page with checklist and notices, user menu, appearance and how new employees get approved.

The employee portal is the browser view of EVENTRA for employees. Everything you see here is also available in the EVENTRA App -- both show the same data.

The main navigation (on a smartphone a bar at the bottom) contains:

ItemPage
HomeYour home page (see below)
EventsAll events of your organization -- see Applying for Events
ApplicationYour applications
ShiftsYour shifts -- see My Shifts
TimesYour working times -- see Time Tracking
AchievementsOnly with volunteer mode -- see Your Achievements

On desktop you additionally get:

  • Team lead -- if you have the permission Time tracking for others, or Your team if you are only entered as team lead of a unit. See Team Lead Functions.
  • FAQs -- as soon as your organization has stored frequently asked questions.

On a smartphone a round button sits to the right of the bar: for employees your QR code, for supervisors the Team lead page. If a supervisor is already on the Team lead page, the same button with a camera icon opens the scanner directly.

The user menu

Clicking your profile picture opens the menu:

  • Account -- opens the profile dialog.
  • Master data -- takes you to the master data form; a badge shows whether details are still missing.
  • Documents -- opens your documents and contracts; a number shows open tasks.
  • Support -- the support chat with the number of unread replies, if your organization uses it.
  • QR code -- your digital pass. If your organization uses the Smart Wallets add-on, you can add it from here to Apple Wallet or Google Wallet.
  • Team lead -- only with the permission Time tracking for others.
  • Back to HR app -- only if you switched from the HR area to the employee view.
  • FAQs, Language, Appearance and Sign out.

The home page

After signing in, Home shows two areas.

Getting started

A checklist with progress ("n of m done"):

  1. Fill in master data
  2. Upload profile picture
  3. Create your first application

Clicking an item takes you straight to the right place.

New for you

Cards with everything that is currently pending -- depending on the situation:

  • Complete master data -- with a progress bar (Base, Billing, possibly Additional) and a note about what is still missing before your first event application.
  • New documents or n open tasks -- your organization has sent you documents or you still have something to do there.
  • Document requested -- HR asks for a specific document.
  • Submit ZVÜ application -- if your next assignment requires a reliability check.
  • New message -- a reply in the support chat.
  • Guest list: event -- if you may add guests for an event.
  • One card per new scheduling: "You have been scheduled for 08/14/2026."

Appearance: light or dark

EVENTRA comes in a light and a dark appearance. Choose Light, Dark or System (follows your device) -- in the user menu under Appearance or in the profile dialog. The choice only applies to the respective device. Company logos switch to their dark variant automatically.

When your organization approves new employees

Some organizations review new employees before they can apply for events. In that case EVENTRA guides you through three steps after registration:

  1. Submit application -- a few details about you and optionally a profile picture. You are only asked for what your organization has set for this application; the rest comes later.
  2. Review by organization -- you receive an email as soon as a decision has been made. Until then the navigation only shows Home, Events and Application.
  3. Complete your profile -- after approval you add the remaining master data before your first event application.

If your organization asks for changes, Please update your application appears together with a message; via Edit Application you adjust your details. If it declines, you see Application declined.

How approval is set up is described in Employee Settings.
