EVENTRA Docs

Documents, Contracts and Files

Open documents from your organization, fill in forms, conclude contracts and upload your own files.

The Documents area holds everything that goes back and forth on paper between you and your organization: documents your organization sends you, files it requests from you, your employment contracts and your own uploads.

In the portal you reach it via the user menu (Documents) or in the profile dialog via the Documents tab; in the app via Profile > Documents. A number on the menu item shows how many tasks are still open.

Documents from your organization

Your organization can automatically send you documents -- for example a briefing before the event, a packing list, a form or your employment contract. Each delivery appears as its own block with:

  • the event and the date of your first shift ("Summer Festival · from Fri, Aug 14"), or General if it does not belong to an event,
  • the name of the delivery and the badge New as long as you have not opened it,
  • status chips such as Done, Conclude contract, 1 document missing, Form open, 2 files unread, Confirmation missing and a deadline ("due 08/10" or "overdue since 08/10").

Blocks with open tasks are expanded. Depending on the content you find:

  • Files -- view them via Open; each file shows Opened or Not opened yet.
  • Requested documents -- upload directly to the right place via Upload.
  • Forms -- fill them in and Send form; later you can correct answers with Send changes.
  • Contracts -- see below.
  • Read and understood -- if your organization asks for a confirmation, you confirm that you have read everything. This only works once you have opened all files. If the organization changes the documents later, you are asked to confirm again.

On the Shifts page, the Documents button on an assigned or confirmed shift takes you straight to the documents of the event. New documents are also announced by the New documents card on the home page, and you receive a notification -- by push in the app, otherwise by email.

In the app, the files of your documents are stored for offline use -- so you can open them on site even without a network.

What your organization sends and when is set in the Automations.

Concluding contracts

If your organization uses contract management, your contracts appear as part of the documents. Each contract carries a Contract number and a status: Open, Submitted, Completed, Waiting for annual contract, Outdated or Withdrawn.

Use View or Download PDF to read the contract. Your organization decides how you conclude it:

KindHow it works
Digital consentI agree -- in a dialog you confirm that you are concluding the contract bindingly. Time and device are stored.
SignatureSign opens a field in which you sign with finger or mouse (Redraw to correct), then Sign and conclude.
UploadDownload the contract, print it, sign it and upload a photo or scan with Upload signed contract. HR reviews the version.
On siteWill be signed on site -- nothing to do online. Tell them your contract number at check-in.

Annual contract and fixed-term sheet

If your organization works with one employment contract per year (for example "Employment contract 2026") and one fixed-term sheet per assignment, you conclude the annual contract first. Until then the fixed-term sheet shows Waiting for annual contract -- with the note "The fixed-term sheet follows once your 2026 employment contract is concluded."

Uploading your own documents

  1. Click Upload (or drag the file into the area).
  2. In the Upload Document dialog choose the Document type: credential, driver's license, CV, contract or proof of health insurance.
  3. Confirm with Upload.

One file is uploaded at a time, at most 10 MB. Otherwise you see: "The file is not a valid document or exceeds the maximum size of 10 MB".

If HR requests a specific document, it appears as its own row with an Upload button -- the file then lands automatically under the right document type.

Viewing your documents

  • Files you uploaded in the master data form (for example in additional fields) are in the Master data section. Download all fetches them together as a ZIP file.
  • All other files are grouped by month, with file name, type, size and date. You can change the document type afterwards.
  • Clicking the download icon downloads the file.

Your own documents can only be deleted within 10 minutes of uploading them. After that the trash icon disappears.

If nothing is there yet: "No documents available yet". If the files cannot be loaded, "Files could not be loaded" appears with Try again.
