Application Review

Review, approve, and manage employee applications for event shifts.

The Applications page lets you review, filter, and manage all employee applications for your events. Access it via Bewerbungen in the sidebar under "Event planen".

Viewing Applications

The page shows a searchable data table titled Bewerbungen with all applications for the currently selected event.

Table Columns

TätigkeitenTasks the applicant applied for, shown as badges. If more than 2 tasks, remaining are collapsed into a "+X" badge with a tooltip listing them. Volunteer tasks have a green "V" badge.
AbwesenheitenDays the applicant is unavailable, shown as a red badge (e.g., "2 Tage"). Hovering reveals the specific excluded dates. Empty if fully available.
AnmerkungenNotes submitted by the applicant. Hover to see the full text.
TeamwunschTeam wish text and group size badge (if the applicant belongs to a group). A number icon indicates group size.
SchichtenNumber of assigned shifts shown as a badge (e.g., "3 Schichten"). Hovering shows shift details. If no shifts: "Keine Schicht".

Use the search bar at the top of the table to search across applicant names, email addresses, notes, and team wishes.

Filtering Applications

Click the filter button to reveal filter options:

Filter Options

FilterDescription
EventSelect a specific event or "Alle Events" to see applications across all events.
TätigkeitenMulti-select to filter by task name. Default: "Alle Tätigkeiten".
Mitarbeiter-InfoFilter by employee attributes such as shift assignment status, employment status, student status, favorites, and blacklist status.

Status Badges

Below the filters, three clickable status badges provide quick filtering:

  • Beworben: [count] -- Total number of applications matching current filters.
  • Eingeteilt: [count] -- Applications where the applicant has at least one assigned shift.
  • Verfügbar: [count] -- Applications where the applicant has no assigned shifts yet.

Click a badge to toggle that filter on or off.

Deleting an Application

  1. Click the three-dot menu icon in the Aktionen column of the application row.
  2. Select Löschen (shown in red).
  3. A confirmation dialog appears:
    • Title: "Bewerbung löschen"
    • Message: "Möchten Sie diese Bewerbung wirklich löschen? Diese Aktion kann nicht rückgängig gemacht werden."
  4. Click Löschen to confirm, or Abbrechen to cancel.
  5. Success message: "Bewerbung erfolgreich geloescht"

If deletion fails, you will see: "Fehler beim Löschen der Bewerbung: [details]"

Exporting Applications

Below the table, an export button allows you to export applications as a file. The export respects all currently active filters, including:

  • Event filter
  • Task filter
  • Shift status filter (all/assigned/unassigned)
  • Employee info filters
  • Search query

Understanding Application Details

Availability (Abwesenheiten)

When an event uses day-based applications (Tageweise Bewerbung), applicants specify which days they are available. The Abwesenheiten column shows how many event days the applicant marked as unavailable. Hover over the badge to see the specific excluded dates.

Team Wishes (Teamwunsch)

Applicants can express a preference for working with specific colleagues. The Teamwunsch column shows:

  • A group size badge (number icon) if the applicant belongs to an application group.
  • The free-text team wish entered by the applicant.

Hover over the group badge for additional details.

Assigned Shifts (Schichten)

The Schichten column shows how many shifts the applicant has already been assigned. Hover over the badge to see details of each assigned shift including date, time, and unit.

The "Verfügbar" status badge means the applicant has no shifts assigned yet -- it does not refer to their day availability.

Troubleshooting

ProblemSolution
No applications appearCheck your event filter -- you may be filtering to an event with no applications. Click the filter button and set Event to "Alle Events".
Cannot delete an applicationEnsure you have accounting permissions. Contact your administrator if the menu is not available.
Search returns no resultsThe search covers name, email, notes, and team wishes. Try a broader search term.
"Verfügbar" count seems wrong"Verfügbar" means the applicant has no shifts assigned yet, not that they have no unavailable days.
