Tasks

The HR task board: work through placeholder data, duplicates, employment mismatches and documents to review.

The Tasks page collects everything about employee data that needs your attention -- without you having to look for it. EVENTRA calculates the list continuously from the current data; you work through it and mark entries as done. You find it in the sidebar under "General" as Tasks; a counter shows the open entries.

Permission

The page requires the permission Profiles, approvals, tags, pay.

How the List Comes About

Tasks are not created by hand. They disappear on their own once the cause is fixed -- an entry about a placeholder tax ID, for example, once the real number is stored. The categories:

CategoryWhen an entry appears
PlaceholdersA person stored a placeholder instead of their real tax ID or social security number.
DuplicatesSeveral accounts have matching tax IDs or social security numbers (Possible duplicate).
EmploymentA person is marked as unemployed, but their employment type is not Marginally employed (title: "Unemployed, but not a minijob") -- and they have a paid shift within the next three months. Volunteer shifts do not count.
File ReviewA person uploaded a requested document ("Document uploaded"). You requested it in the employee list with Request document.
Document CheckAn uploaded file of a master data field with review awaits approval ("Field — unreviewed"), or an approved file has expired or is about to ("Field expired", "Field is expiring").
WarningsA person's answer to a master data field with a warning rule triggers it; title and text come from the rule.

You set up warnings (Trigger warning) and HR review for file fields among the custom fields of the master data form -- see Staff Settings.

Placeholders

EVENTRA knows two placeholders for tax ID and social security number so that employees can be planned who do not yet know these data -- for example foreign employees. The master data form accepts them, but they should be replaced by the correct data as soon as possible. Next to the Placeholders tab, a question mark icon explains this and names both values.

The Table

ColumnContent
StatusA blue dot marks open entries.
CategoryThe entry's category.
UserThe person concerned; for duplicates, the hover card "Possible duplicates found" shows the profiles involved with links in a new tab.
TitleShort description of the problem.
DetailsExplanation; for employment mismatches also the employment type as a badge.
Completed byWho ticked off the entry and when.
ActionsThe fitting action for the row.

Above the table, tabs switch between All and the individual categories (each with a count; empty categories are hidden). The Status filter narrows to All, Open or Done; search covers title, details, name and email address.

Working Through Entries

  • Done / Open -- the default action ticks an entry off or reopens it. Completed rows appear dimmed, with name and time in Completed by. A tick does not replace a fix: if the cause remains, only your marking changes.
  • Reviewed (category File Review) -- confirms that you have seen the uploaded document. The entry disappears.
  • Review (category Document Check) -- opens Review document: you download the file and Release it (with Valid until if the field has an expiry) or Reject it with a Reason for rejection that is shown to the person.

To complete several entries at once, select rows, then Mark as done or Mark as open. Refresh reloads the list.

Copying Emails

Below the table, Copy emails (n) copies the email addresses of the currently visible entries (after filters and search) to the clipboard -- handy for writing to everyone concerned in one go.
