Guest List Settings

Everything that applies to all events lives under Einstellungen › Gästeliste on two pages: Allgemein and Tickets & Kontingente. Add the address book Gäste-Kontakte in the main navigation. Settings for a single event live in that event's Gästeliste › Konfiguration.

Allgemein

Support contact and language

• Support-E-Mail -- "Wird als Antwortadresse in allen Gästelisten-E-Mails verwendet. Ohne Angabe gilt die Standardadresse des Unternehmens."
• Standardsprache der Gästeliste -- invitations, tickets and wallet passes go out in this language unless a guest or contact has a different one stored.

Automatic invitation dispatch

• Automatischen Einladungsversand aktivieren -- the tenant-wide switch. When off, EVENTRA sends no contingent invitations on its own; manually sent invitations and tickets are unaffected.
• Versandzeitpunkt -- default for new events: Aus, Sofort bei Eventerstellung, Relativ zum Eventstart (with Tage vor Eventstart and Uhrzeit) or Fester Zeitpunkt. Can be adjusted per event.

Ticket dispatch

Versandmodus as default for new events: Automatisch, Geplant or Manuell. Also adjustable per event.

E-mail texts

Three blocks, each per language: Ticket ("Geht an den Gast, sobald sein Platz bestätigt ist"), Stornierung ("Geht an den Gast, wenn sein Platz storniert wird") and Einladung ("Geht an die Person, die das Kontingent verwaltet"). Texts specific to an invitation type are maintained on that invitation type.

The editor per block:

• Betreff, Überschrift and Text, each with a Standard or Angepasst badge; Standard resets a field.
• Placeholders via Einfügen: -- e.g. first name, guest name, event name, date, name of the person managing the contingent. Unknown placeholders are sent unchanged and flagged beforehand.
• A character counter warns when the subject is longer than most mail clients display.
• E-Mail-Vorschau with sample data, either auf dem Handy or am Desktop, and Sprachen vergleichen side by side.
• Testmail an mich senden sends the draft to your address.

Ticket design

Tickets & Kontingente

The page carries the rule of thumb: "Eine Ticketart ist ein Ding, eine Einladungsart ist eine Person, ein Kontingent ist eine Zahl. Einen Preis bekommt eine Ticketart erst im Kontingent oder beim einzelnen Gast." All lists can be sorted by drag & drop; entries are archived, not deleted.

Ticket types

Each line is exactly one thing: what the guest receives and the credential they stand at the door with.

Section	Fields
Was der Gast in der Hand hält	Name (e.g. Weekend Premium), Kürzel (e.g. WKD) -- both appear on ticket, wallet pass and every list at the door; Ausweisart -- wristband, pass, lanyard, card.
Wie sie erkannt wird	Farbe and Symbol of the tile; without a choice of its own it takes those of the credential type.
Rolle	Ticket or Add-on -- a guest holds exactly one ticket and any number of add-ons (camping, VIP upgrade, FOS).
Wo sie zur Auswahl steht	Nur bei: Allen Events, Mehrtägigen Events or Eintägigen Events; optionally Nur bei bestimmten Events.

Price categories

"Die Preise, aus denen jedes Preisfeld der Gästeliste wählt." A category has a Bezeichnung (e.g. Standard) and a Preis; 0,00 € is valid ("Gratis"). As long as none exists, every price field offers only Gratis -- next to it there is always Individuell for a freely entered amount.

Invitation types

The host's role: Name (e.g. Künstler), Standard-Ticketart ("Nur ein Vorschlag beim Anlegen eines Gastes"), an optional Zusätzliches Formular and its own E-Mail-Texte for invitation and reminder. How many tickets someone may hand out and what they cost is not defined here -- the contingent decides.

Forms

Additional fields hosts fill in when entering a guest; assigned per invitation type. The field editor is the same as for the master-data form -- file fields and conditions are not available for the host page.

Permanent contingents (groups)

Apply automatically to every upcoming event. A group has:

• Grunddaten -- name and Einladungsart; optionally Automatisch versenden ("Einladungen dieser Gruppe gehen beim Anlegen eines Events sofort raus, ohne Klick auf ‚Alle versenden'").
• Zuteilung pro Person -- separately for Mehrtägige Events and Eintägige Events, each with lines of Ticketart, Anzahl (or Unbegrenzt) and Preis.
• Mitglieder -- people with an EVENTRA account, via Mitglieder verwalten; and Kontakte from the address book.

Archivieren withdraws the group's unsent invitations; those already sent stay valid.

Presets

Same structure as a group, just without fixed members: "Ein Preset legt fest, was ein Gastgeber bekommt, nicht wer er ist." You apply it per event to selected contacts -- see Contingents & Invitations.

Gäste-Kontakte

Gäste-Kontakte in the main navigation is "das tenant-weite Adressbuch der Gästeliste: Künstler, Presse und Partner, die ein Kontingent halten, ohne EVENTRA-Konto zu sein."

Field	Meaning
Name, E-Mail, Telefon	Exactly one contact per e-mail address; invitation and reminder go there.
Sprache	The contact receives their invitation in this language; otherwise the guest list default.
Standard-Einladungsart	Suggested when creating an invitation.
Notizen	Internal.

The table also shows Gruppen and Einladungen ("Zuletzt: event · date" or "Noch nie eingeladen"). In the row menu: E-Mail schreiben, E-Mail-Adresse kopieren, Anrufen, Archivieren / Wiederherstellen. An archived contact disappears from all groups and every picker; sent invitations are untouched.

Per event: Konfiguration

Gästeliste › Konfiguration in the event bundles what applies to this event only:

• Automatischer Einladungsversand -- "Wie in den Gästelisten-Einstellungen" or a time of its own, plus Jetzt versenden.
• Ticketversand -- mode and time for this event.
• Ticket-Artwork and Ticket-Design -- see Tickets & Wallet Passes.
• Gruppen-Kontingente für dieses Event -- overrides a group's permanent contingent here only, even for invitations already sent. Zurücksetzen restores the default.
