Contacts, Artists & Blocklist

The guest list's address book for hosts without an EVENTRA account — split into artists and other contacts — and the blocklist for people who must not be admitted.

In the main navigation, Contacts holds three pages: Artists, Contacts and Blocklist. All three apply to the whole organisation, not to a single event, and require the Manage the guest list permission and the booked guest list.

Artists and contacts

The address book holds all hosts who receive a contingent without having an EVENTRA account. It is split into two pages:

  • Artists -- "Artists and their management with a contingent on the guest list."
  • Contacts -- "Press, partners and agencies with a contingent but no EVENTRA account."

You create new entries with Add. External contacts you enter when creating an invitation also land here.

FieldMeaning
TypeArtist or Other contact -- "Decides whether they appear under Artists or Contacts."
Name, Email, PhoneThere is exactly one contact per email address; the invitation goes to it.
LanguageThe contact receives their invitation in this language; otherwise the guest list default language.
Default invitation typeSuggested when creating an invitation.
NotesInternal.

The table additionally shows Groups and Invitations ("Last: event · date" or "Never invited"). Filters: Status (Active, Archived, All), Invitation type and Group. In the row menu: Edit, Write email, Copy email address, Call, Archive / Restore.

An archived contact disappears from all groups and every picker; invitations already sent stay untouched, and the contact can be restored at any time.

You can assign contacts to groups, give them a preset, or choose them as On behalf of for a guest -- the guest then counts as a guest of that contact.

Blocklist

The blocklist holds people who should not be admitted: "Anyone listed here is held for review when entered. Hosts never learn why." (In the page header and the navigation it is called "Blacklist" or "Blocklist"; it is the same page.)

Blocking a person

Block person opens the dialog:

  • First name and Last name.
  • Aliases -- "Other full names the person goes by, such as a nickname or a former last name."
  • Email -- optional. A guest with this address is also recognised under a different name.
  • Reason -- "Visible to everyone who reviews or admits guests — hosts never see it."

On saving, EVENTRA immediately compares the entry with all guests of upcoming events and reports how many were held for review. Editing works the same way: guests who no longer match after the change are released and receive their ticket.

How matching works

Every new or changed guest is checked against the blocklist -- by email address, name or an alias. Similar spellings count too: a typo, "ue" instead of "ü", first and last name swapped. A match does not reject the guest:

  1. The guest is saved but held -- no ticket, no admission.
  2. The host learns nothing about it.
  3. On Guests & entry the guest appears with the Blocklist badge and in the quick filter Blocklist matches; at the door the team sees a red notice.
  4. With Clear blocklist match you let them through. They then receive their ticket like everyone else -- see Guests & Admission.

The table shows per entry the Name (with aliases), Email, Reason, Matches ("n in review", "n approved") and when it was Created. Via the row menu you Edit or Remove entries; held guests receive their ticket after the entry is removed.

Who sees what

Only someone with Manage the guest list can create, change and remove entries and clear matches. The door team sees matches and the reason but cannot clear them.
