Accreditation & ZVÜ (Security Clearance Verification)

The accreditation system in EVENTRA, including ZVÜ security clearance, the HR dashboard, and credential verification at events.

This guide covers the accreditation system in EVENTRA, including the ZVÜ (Zuverlässigkeitsüberprüfung -- reliability/security clearance check) process for employees, the accreditation management dashboard for HR, and credential verification at events.

Feature gate: The accreditation system requires the Akkreditierung & ZVÜ feature to be enabled for your organization. If this feature is not active, accreditation-related pages will not be accessible.

What is ZVÜ?

ZVÜ stands for Zuverlässigkeitsüberprüfung (reliability/security clearance check). It is a police security clearance process required for personnel working at high-security event venues in Germany. All staff members who will work on-site at such events must undergo this verification.

Key requirements:

  • The ZVÜ is performed only with the employee's knowledge and consent.
  • Without consent and successful ZVÜ completion, no accreditation or on-site work permit can be issued.
  • The ID document used for the ZVÜ application must be brought in its original form to the event accreditation.

Accreditation Roles

EVENTRA defines several roles within the accreditation system:

accSupervisorSupervisor for a subcontractor company. Can manage employees within their company, view company-level accreditation stats, and add employees.
authorityAuthority/admin role. Has full access to the accreditation dashboard, can review and approve ZVÜ applications, and manage all companies and employees.
hrHR administrators. When an HR user accesses the accreditation area, they are redirected to the HR dashboard.
junior / supervisorStandard employee roles. When these users access the accreditation area, they are redirected to the main application.

Employee ZVÜ Process (3-Step Wizard)

Employees with accreditation roles (accJunior, accSupervisor) complete a 3-step wizard to submit their ZVÜ data.

Prerequisites

  • The employee must be logged in.
  • The ZVÜ data must not have been submitted already (if already submitted, the employee sees a confirmation page).

Step 1: Data Entry (Dateneingabe)

The first step collects personal information across three cards:

After filling in all fields, click the Weiter (Next) button to proceed.

Step 2: Terms & Conditions (AGB)

The second step displays the legal text regarding the police security clearance. The employee must read the document, which covers:

  • Information about what the ZVÜ entails.
  • Consent to the police background check.
  • Data processing and privacy information.
  • Legal basis for the security verification.

After reading, click Weiter (Next) to proceed, or Zuruck (Back) to return to the data entry.

Step 3: Summary & Submit (Zusammenfassung)

The final step shows a summary of the entered data in two cards:

  1. Persönliche Daten (Personal Data): Name, gender, nationality.
  2. Ausweisdokument (ID Document): Type and number.

Wichtiger Hinweis: Das fur die ZVÜ verwendete Ausweisdokument muss zur Akkreditierung bei der Veranstaltung im Original mitgebracht werden.

Actions:

  • Click Zuruck to go back and make corrections.
  • Click Abschicken to submit the ZVÜ application.
  • During submission, a loading spinner is shown.

After Submission

On successful submission, the employee is redirected to the accreditation landing page. They see a confirmation page:

If the employee has already submitted their data and tries to access the form again, they see:

Error Handling

If the submission fails, the following error message appears: Fehler beim Speichern der Daten. Die Webseite wird neu geladen. The page will automatically reload after 2 seconds.

ZVÜ Status Tracking

After submission, the employee's ZVÜ goes through several status stages:

When the ZVÜ status is approved, the employee can access their QR code for event check-in.

Accreditation Landing Page (Employees)

The accreditation landing page (accessible at the accreditation path) shows:

  1. The organization's logo (if configured).
  2. A welcome heading: [Company Name] ladt [zur Akkreditierung ein] (for supervisors, it includes their company name).
  3. For approved employees: A QR code drawer that can be opened for event check-in.

HR Accreditation Dashboard

HR administrators access the accreditation management through the event-specific accreditation page.

Dashboard Overview

The dashboard page displays:

  • A heading: Akkreditierung - [Event Name]
  • A description: Verwalten Sie hier die Dienstleister fur das Event [Event Name] verwalten, Firmen einladen und Akkreditierungen vergeben.
  • Craft tabs (trade/skill category tabs) for organizing companies and employees by their assigned trade.

Managing Companies and Employees

From the dashboard, HR can:

  • View all companies and their employees organized by trade category (Gewerk).
  • Invite new companies.
  • Assign accreditations (credentials) to employees.
  • Import employee data.
  • Export accreditation data.

Staff Credential Verification

The staff section allows HR to:

  • View all staff members and their credential status.
  • Open employee detail dialogs to review their accreditation data.

QR Scanner for Check-in/Check-out

The QR scanner feature allows on-site verification of accredited employees. The scanner uses the device camera to read employee QR codes.

When a QR code is scanned:

  • The employee's information dialog opens.
  • HR can check in the employee (success message: Mitarbeiter/-in erfolgreich eingecheckt).
  • HR can check out the employee (success message: Mitarbeiter/-in erfolgreich ausgecheckt).
  • HR can block an employee if needed (success message: Mitarbeiter/-in erfolgreich gesperrt).
  • HR can unblock a blocked employee (success message: Mitarbeiter/-in erfolgreich entsperrt).

QR scanner error messages:

  • Check-in error: Fehler beim Einchecken, bitte versuche es erneut.
  • Check-out error: Fehler beim Auschecken, bitte versuche es erneut.

Supervisor Dashboard

Supervisors (accSupervisor role) have their own dashboard showing:

  • Company-level accreditation statistics.
  • A list of their company's employees.
  • The ability to add new employees to their company.

Adding Employees

  1. Click the add employee button.
  2. Fill in the required employee information.
  3. Submit the form.

On error, a message is shown (either the specific error message from the server or Ein unerwarteter Fehler ist Aufgetreten).

Authority Dashboard

Users with the authority role have access to:

  • A comprehensive overview of all companies and employees.
  • The ability to review ZVÜ applications.
  • A data table with columns for filtering and sorting employee accreditation data.
  • Employee detail dialogs for reviewing submitted ZVÜ information.

If an employee cannot be found in the system: Mitarbeiter/-in konnte nicht gefunden werden.
