Tags & Qualifications
Create and manage visibility and requirement tags for employees and tasks.
Tags are a flexible system in EVENTRA for documenting employee qualifications and controlling task visibility. This guide explains how to create, manage, and assign tags.
What Are Tags?
Tags let you categorize employees by their skills, certifications, or qualifications. When assigned to tasks, tags control which employees can see and work on those tasks.
The tags settings page is found under HR > Einstellungen > Tags & Qualifikationen. The page header reads: "Erstelle und verwalte Tags, um Mitarbeiter-Qualifikationen und Tätigkeitsanforderungen zu organisieren."
Two Types of Tags
Each task in EVENTRA can use tags in two ways. Both types are created in the same place -- the difference is how they are applied to tasks.
Sichtbarkeits-Tags (Visibility Tags)
Visibility tags control which employees can see a task and apply for it. When visibility tags are set on a task, only employees who have all of the required visibility tags will see that task. Employees without the right tags will not see the task at all.
Example: If a task requires the "Security" visibility tag, only employees tagged with "Security" will see that task in their shift list.
Qualifikations-Tags (Requirement Tags)
Requirement tags define qualifications needed for shift planning. When an HR administrator assigns an employee to a task that has requirement tags, the system checks whether the employee has the required tags. If the employee is missing one or more required tags, a warning is displayed -- but the assignment is not blocked.
Example: If a task requires the "Ersthelfer" (first aider) requirement tag and you assign an employee without it, a warning will appear during shift planning. The assignment still proceeds.
Creating a Tag
- Navigate to HR > Einstellungen > Tags & Qualifikationen.
- Click the Neuen Tag erstellen button.
- A dialog titled Neuen Tag erstellen opens with the following fields:
- Name (required) -- enter the tag name. Placeholder: "z.B. Barkeeper, Ersthelfer, Gabelstapler".
- Beschreibung -- optional description. Placeholder: "Optionale Beschreibung, z.B. 'Mitarbeiter mit gültigem Gabelstaplerschein'".
- Farbe -- choose from 10 preset colors: Rot, Orange, Gelb, Grun, Cyan, Blau, Violett, Pink, Grau, Braun. The selected color gets a ring highlight.
- Vorschau -- shows a live preview of how the tag badge will look.
- Click Tag erstellen to save the new tag.
- On success: "Tag erfolgreich erstellt".
- On error: "Fehler: [error message]".
Editing a Tag
- Find the tag you want to edit in the tag list.
- Click the gear icon (Settings) on the tag card.
- A dialog titled Tag bearbeiten opens with the same fields as creation.
- Modify the Name, Beschreibung, or Farbe as needed.
- Click Speichern to save changes.
- On success: "Tag erfolgreich aktualisiert".
Deleting a Tag
Deleting a tag is permanent and cannot be undone. A confirmation dialog will appear: "Möchtest du diesen Tag wirklich löschen? Diese Aktion kann nicht rückgängig gemacht werden." If the tag is still in use and cannot be deleted, an error message will appear below the delete button.
- Open the edit dialog for the tag.
- Click the Löschen button (red, bottom-left of the dialog).
- Click Löschen to confirm or Abbrechen to cancel.
- On success: "Tag erfolgreich gelöscht".
Enabling and Disabling Tags
Each tag card shows its current status: Aktiv (green dot) or Inaktiv (grey dot).
- Click the eye icon on a tag card to toggle its status.
- Eye open icon = currently active (click to deactivate).
- Eye closed icon = currently inactive (click to activate).
- On success: "Status erfolgreich geändert".
Disabled tags remain in the system but will not appear when assigning tags to employees or tasks.
Tag Cards: What You See
Each tag in the list displays:
- A colored left border matching the tag color.
- The tag name as a colored badge.
- Status indicator: Aktiv or Inaktiv.
- Description text (if provided).
- Usage statistics:
- [X] Mitarbeiter -- number of employees with this tag.
- [X] Tätigkeiten -- number of tasks using this tag.
When no tags exist, you will see: "Keine Tags vorhanden" with the message "Erstelle deinen ersten Tag, um Qualifikationen und Anforderungen zu verwalten." and examples like "Barkeeper", "Ersthelfer", "Gabelstaplerschein", "Security", "Kassierer", "Teamleiter".
Assigning Tags to Employees
Tags are assigned to employees from the employee profile page.
- Open an employee's profile page.
- In the Tags & Qualifikationen section on the Allgemein tab, click Tag zuweisen.
- A dialog titled Tags zuweisen opens: "Wahle einen oder mehrere Tags aus, um sie diesem Mitarbeiter zuzuweisen."
- Fill in:
- Tags auswählen (required) -- multi-select dropdown showing all active tags that are not already assigned. Placeholder: "Tags auswählen..."
- Gultig bis (optional) -- click to open a date picker. Placeholder: "Datum auswählen".
- Notizen (optional) -- text area for notes about the assignment. Placeholder: "z.B. Zertifikat Nr. 12345, erworben am ..."
- Click Zuweisen to assign the selected tags.
- On success: "Tag wurde zugewiesen" (single) or "[X] Tags wurden zugewiesen" (multiple).
- If no tags exist yet: "Es sind noch keine Tags vorhanden. Erstelle zuerst Tags in der Tag-Verwaltung."
- If all tags are already assigned: "Alle verfügbaren Tags sind bereits zugewiesen."
Removing Tags from Employees
- On the employee profile, find the tag badge in the Tags & Qualifikationen section.
- Click the "x" button on the tag badge.
- Confirm the removal: "Möchtest du den Tag [name] wirklich von diesem Mitarbeiter entfernen?"
- Click Entfernen to confirm or Abbrechen to cancel.
- On success: "Tag wurde entfernt".
Expired Tags
Tags with a "Gultig bis" date that has passed appear faded with a warning triangle. Hovering over them shows "Abgelaufen" and the expiration date. Expired tags may indicate that an employee's qualification needs to be renewed.
Assigning Tags to Tasks
Tags are assigned to tasks through the task configuration within events. When configuring a task, you can set both visibility tags and requirement tags. Refer to the event/task management documentation for details.
